Pantry Shelf-Capacity & Quality-Date Planner

Use this worksheet to estimate how much shelf space a pantry inventory occupies and to record source-linked quality-date and package-condition checks. The geometry is an organization estimate, not a food-safety determination.

1. Choose the measurement basis

  1. Choose one unit, such as inches or centimeters, and use it for every measurement.
  2. For each shelf or storage zone, measure the usable inside width, depth, and height. Calculate separate zones separately when their dimensions differ.
  3. For each item, record the count and the package width, depth, and height. For a round can, use its diameter for width and depth. A rectangular-envelope estimate may overstate the space used by irregular packages.
  4. Enter a clearance allowance as a percentage of shelf volume. This is a user-selected organization assumption for gaps and access; it is not a safety factor prescribed by the sources.
  5. Keep the two categories separate: commercial shelf-stable and home-canned.

Formulas

Use the same unit throughout:

  • Item volume = count × w × d × h
  • Total item volume = sum of all item volumes assigned to the zone
  • Shelf volume = W × D × H
  • Adjusted usable shelf volume = shelf volume × (1 − C/100)
  • Raw occupancy (%) = total item volume ÷ shelf volume × 100
  • Adjusted occupancy (%) = total item volume ÷ adjusted usable shelf volume × 100

Use a clearance value from 0% through less than 100%. At 100%, no adjusted usable volume remains, so an adjusted percentage is undefined. Occupancy above 100% means the entered inventory exceeds the modeled available volume; it does not indicate a food-safety condition.

Reproducible example

Assume one shelf measures 36 × 12 × 14 inches and the chosen clearance allowance is 15%:

  • Shelf volume: 36 × 12 × 14 = 6,048 in³
  • Twelve cans measuring 3 × 3 × 4 inches: 12 × 3 × 3 × 4 = 432 in³
  • Four boxes measuring 2 × 8 × 10 inches: 4 × 2 × 8 × 10 = 640 in³
  • Total item volume: 432 + 640 = 1,072 in³
  • Raw occupancy: 1,072 ÷ 6,048 × 100 = 17.7%
  • Adjusted usable shelf volume: 6,048 × 0.85 = 5,140.8 in³
  • Adjusted occupancy: 1,072 ÷ 5,140.8 × 100 = 20.9%

  • [ ] Review any incomplete dimensions, unknown dates, or flagged packages before relying on the occupancy result.
  • [ ] Treat occupancy as an organization estimate only; it does not determine food safety.

5. Interpretation limits

The calculation describes modeled volume, not actual fit, access, weight distribution, package stability, food quality, or food safety. Product type, processing method, packaging condition, and storage conditions also matter. A low occupancy percentage does not make food safe, and a date window that has passed is not by itself a complete safety determination.
